Administrative Assistant

You will be joining a team of dedicated and committed youth workers whose mission is to help at-risk young people move off the streets and on to independence.

Job Function

Reporting to the Chief Program Officer , the Administrative  Assistant provides administration support for the Chief Program Officer (CPO), Chief Operating Officer (COO) and the Program Management Team. (PMT).

Primary Duties and Responsibilities

  • Complete project assignments as assigned by the CPO and COO
  • Provide responsive and timely administrative and organizational support for the regular activities of the CPO and COO including: Scheduling meetings; maintain regular and confidential files; arranging and managing meeting schedules; following up on various business matters; and anticipating the business needs of the CPO and COO
  • Provide responsive and timely administrative and organizational support for meeting with board members as required
  • Assist with the organization of program planning and meeting sessions (e.g., preparing / distributing agenda and taking minutes)
  • Update and prepare new Manager orientation packages and materials
  • Arrange and coordinate travel arrangements, program meetings, trainings, and events
  • Assist in the update and maintenance of program policies and procedures
  • Additional duties and responsibilities, as directed


  • Completion of Diploma or Bachelor’s degree
  • Minimum 3 years related experience
  • Excellent computer skills including MS Word, Excel, PowerPoint, Outlook, and SharePoint
  • Excellent communication and interpersonal skills
  • A superior level of attention to detail and excellent organizational skills
  • A demonstrated ability to multi-task and prioritize in a fast paced work environment
  • Ability to exercise a high level discretion when dealing with confidential issues
  • Must be flexible and able to adapt to changing priorities
