Coordinator, Special Events



Covenant House Vancouver is the premier provider of residential and support services for our city’s homeless youth, and we are growing! You will be joining a team of dedicated and committed people whose mission is to help at-risk young people move off the streets and on to independence.

In order to be hired at Covenant House Vancouver as an employee, practicum student, or volunteer, candidates must provide evidence of full courses of Health-Canada approved vaccinations prior to starting their first shift.

The Coordinator, Special Events will support the Manager, Special Events with the administration, participant communication, and event coordination behind Covenant House Vancouver’s signature Sleep Out events. Responsible for the administration and communication with event participants and donors to support their fundraising efforts. Assist with the implementation of identified strategies for event logistics, guest experience, volunteer management, budget tracking, vendor coordination, post-event evaluation, and participant and donor recruitment and stewardship.

 

Job Duties and Responsibilities

  • Administration of Luminate TeamRaiser including event pages, participant registration, participant fundraising pages, content updates, gift entry, and reporting
  • Administration of Raiser’s Edge including tracking actions, proposals, queries, and relationships
  • Assist with prospecting, financial tracking, critical path management, and stewardship
  • Support the Development and Communications team with administrative duties as needed
  • Working closely with the Donations Processing team to ensure timely gift entry, processing, and tax receipting
  • Work closely with the Communications team to coordinate the delivery of segmented emails to event participants and donors
  • Support Sleep Out participants with peer-to-peer fundraising materials as needed
  • Respond to donor inquiries regarding event donations and tax receipts
  • Create fundraising and event collateral as needed
  • Leverage emerging technologies to drive engagement and execution of on-line events
  • Support coordination of events including set up, audio/video, signage, equipment, food services, and event materials (programs, toques, name tags, etc.)
  • Support 10+ Development Officers/staff members on the night of Sleep Out to ensure events operate smoothly, efficiently, and generate maximum revenue, all the while exhibiting a high level of professionalism and teamwork
  • Responsible for supervising the work of volunteers on occasion.

Qualifications

  • College diploma or certificate / university degree
  • 1-2 years related experience in events, fundraising and/or administration

Skills & Attributes

  • Excellent organization and communication skills, both oral and written
  • Professional phone and email manner while building strong relationships
  • Demonstrated ability to work well in a team environment
  • Strong problem solving and time management skills
  • Ability to work under pressure to meet multiple deadlines
  • Experience using Raiser’s Edge and Luminate TeamRaiser is preferred
  • Proficiency using Microsoft Office applications
  • Passion for helping Vancouver’s homelessness and at-risk youth
