Development Associate, Donations Processing (Contract)

You will be joining a team of dedicated and committed youth workers whose mission is to help at-risk young people move off the streets and on to independence.

 

As part of our Development and Communications team, this position is responsible for ensuring exemplary donations administration and customer service to Covenant House Vancouver’s donors. Inherent to this position is a need for both speed and accuracy to ensure that targets are met throughout the year. This position reports to and provides direct support to the Associate Manager, Annual Giving. Through effective and efficient donation administration and stewardship, the Development Associate contributes to the team’s fundraising efforts and focuses on both building and maintaining relationships with our donors.

Job Description

  • Acts as a front-line contact for our donor base, responding to donor inquiries and requests (phone, e-mail) in a professional and timely manner
  • Provide administrative support to Major Giving team, communicating daily (e.g. major gifts, monthly donors, direct mail)
  • Manages incoming mail and donations, ensuring gifts are entered and coded in Raiser’s Edge correctly and receipted in a timely manner
    • For Direct Mail: open, batch, scan, enter and receipt gifts daily (within 24 hours) including sending the electronic file to Mail-O-Matic for receipting and update donor records
    • For Major Gifts: open and scan all gifts and email to development staff daily, batch, enter and receipt gifts twice a week, distribute all accompanying correspondence to the appropriate development staff person
    • For monthly donors: enter new signups, process upgrades, cancellations, account changes and receipts and prepare appropriate correspondence. Attach media files weekly and ensure accuracy of records.
  • Ensures all data and donor information is properly captured in Raiser’s Edge
  • Entry of all on line gifts (Spark / Sphere)
  • Research “returned receipt” donors weekly, flag and update their file accordingly
  • Fulfill replacement receipt requests as needed
  • Other duties as required

Qualifications

  • High School and a provincial or other vocational or professional certificate/degree is preferred and at least 1 year of related past experience
  • Experience and proven proficiency in a donations processing capacity required
  • Experience working with a monthly giving program preferred
  • Proficiency with Raiser’s Edge or other fundraising/database software required
  • Advanced computer literacy in MS Office Suite (Word, Excel, Outlook)
  • Professional and courteous phone manner
  • Excellent interpersonal, verbal and written communication skills
  • Able to handle high volume of data entry in an efficient and accurate manner
  • Demonstrates initiative and diligence and is detail-oriented
  • Able to work within a team environment but also to work autonomously with minimal supervision
  • Superior organizational and time-management skills; ability to multi-task
  • Proven ability to meet deadlines consistently, take direction and follow-through
  • Able to adapt to a variable workflow with multiple priorities and in high-pressure scenarios, especially during the holiday busy season (October – January)
  • The candidate must successfully complete a criminal records and education verification check prior to commencing employment
