Payroll Specialist

Job Function

The Payroll Specialist is responsible for providing the full cycle payroll and benefit process and reconciliation of data source, ensure accuracy of pay and deductions, and handle all related inquiries.  This position is also responsible for monthly payroll GL reconciliation and benefit reconciliation. This position also provides backup support for other finance staff and general support to the Controller as required. Ideal candidate is enthusiastic and continually looking to improve processes and increase efficiency.


Primary Duties and Responsibilities

  • Process bi-weekly payroll in an accurate and timely manner
  • Process bi-weekly and month-end payroll accrual journal entries and accurately post to Sage 300C
  • Reconcile payroll clearing GL accounts and HRM benefit reconciliation monthly
  • Maintain Total Access pay statement site, assist with staff password reissues, and respond to staff inquiries regarding payroll in a timely manner
  • Process manual cheques, including calculating the proper deductions
  • Produce Record of Employment forms as directed by HR
  • Process compensation and benefits changes for all employees and maintain accurate accounts with benefits providers, ensure ADP updated according to our Kronos HRM system
  • Prepare ad-hoc and analytical reports and summaries as required
  • Liaise with ADP to resolve any and ongoing issues as required
  • Continually explore opportunities for Payroll efficiencies and best practices
  • Assist and perform back up duties for other finance staff including data entry, AR deposits and scanning/filing, when necessary.


  • Minimum of 3 years of practical payroll experience and 2-3 years college or university education with Accounting/Payroll Diploma or Degree
  • Current PCP certification or working towards
  • Up to date knowledge on Canadian payroll rules and regulations
  • Strong communication and customer service skills, with ability to maintain confidentiality
  • Must be accurate, reliable, detail-oriented, and good organizational skills
  • Hands on experience and Working knowledge of ADP – pay@work, Kronos workforce ready, and Sage 300 preferred
  • Have the ability to work independently and with others.
  • Intermediate experience with Microsoft office, especially with Excel
  • Ability to handle complicated payroll/benefits reconciliations and work longer hours to meet deadlines
  • Enthusiastic and a quick learner

Additional Information

  • After 3 months full benefits including pension, extended benefits, 3 weeks vacation, sick and personal time
  • Preferred start date: Oct 2019, applications accepted until September 30th, 2019
  • Full-time regular position working 35 hours per week
