About Covenant House Vancouver
Since 1997, Covenant House Vancouver has provided relentless support for youth experiencing, or at-risk of experiencing, homelessness. We provide support to young people age 16 to 24 who have experienced a wide range of early life and ongoing, complex trauma; including physical, sexual and emotional abuse and neglect. Our purpose is to serve all youth with absolute respect, to help youth experiencing homelessness, and provide a safe and supportive environment for all youth in need.
Working at Covenant House will be one of the most meaningful things that you’ll do in your life. However, you will be confronted with significant issues in this work and frankly, this work is not for everyone. In the course of doing your work, particularly for those doing frontline work, you will be exposed to the trauma of others. The youth we serve may also experience overdose, physical harm perpetuated by self or others and even death. Because we provide a relational model of care, the harms our youth experience can impact us in varying degrees.
While we provide training for youth workers on avoiding what we call vicarious trauma (namely, the trauma you can experience or take on by hearing other’s traumatic stories), and a generous allowance for counselling, it is still difficult work that can and does take its toll on many employees. Self-awareness and self-care are key. Some candidates and employees decide during the recruiting and probationary periods that this work isn’t for them, and that is totally fair.

The Impact the HRIS Specialist (Workday System Administrator) with the People and Culture Team can make:
Reporting to the Director, People and Culture, the HRIS Specialist is responsible for the overall administration, optimization, and continuous improvement of the Workday Human Capital Management (HCM) system. This role will partner with payroll, IT and other departments to ensure that P&C operations are efficient, secure, user friendly and aligned to organizational needs and priorities. Core responsibilities include system implementation and configuration, workflow development, data governance, reporting, training, change enablement, integrations, documentation and system security.
How you will contribute:
Workday Implementation
- Partner with HCM and Payroll Module Leads in the implementation of Workday, including configuration, design validation, user acceptance testing, and rollout Complete necessary Workday training in order to be a reliable subject matter expert for CHV staff
- Assist with data cleansing activities to ensure all information entering the system is accurate
- Assist in migrating and aligning P&C and payroll processes with Workday functionality and develop supporting user guides
- Support training and change management activities to prepare CHV for Workday launch and future module adoption
- Work with Program Manager, Module Leads, and IT team to prepare an organizational support strategy
- Pro-actively contribute to go-live readiness and continuous improvement efforts
System Administration and optimization
- Configure and maintain Workday modules including HCM, Talent, Time Tracking, Absence, Performance, Scheduling, Advanced Compensation, Learning Management, Benefits
- Lead support for Workday environments including sandbox preview, sandbox and production
- Partner closely with payroll to support maintenance and optimization of payroll module
- Identify and recommend system improvement opportunities related to automation, efficiency and user experience
- Lead and support bi-annual Workday releases including testing, internal communication, training materials, vendor coordination, and deployment
- Troubleshoot and respond quickly to technical issues as they arise, coordinating with vendors and providing support to staff as needed
- Work with IT to ensure system security and compliance
- Work with People & Culture and Payroll teams on the adoption of Workday major releases
- Provide guidance and training to end-users
- Leverage Workday Community and support to resolve complex issues
Workflow Development and Integration
- Design update, and maintain business processes and approval workflows
- Proactively identify integration opportunities, support with set up and monitor integrations between Workday and other systems (OSV, benefits, learning platforms/tools, talent acquisition opportunities)
- Troubleshoot integration issues and ensure accurate, secure data flow
System Security and Data Governance
- Administer Workday security roles, user access and permissions
- Partner with CHV privacy officer and IT to ensure compliance with CHV security policies and best practices, privacy standards and legislation
- Develop data integrity processes and policies and ensure these are implemented, including conducting regular data integrity and access audits
- Identify and document system related risks and develop incident response processes and risk mitigation strategies for P&C data
Process documentation and governance
- Develop and maintain accurate SOP’s, process maps and knowledge sharing resources
- Ensure documentation reflects both technical elements of configuration and operational workflows and end user experience
- Partner with P&C Advisory team and payroll to streamline and standardize processes and document improvements
User training, ongoing support and change enablement
- Develop and deliver Workday training materials, job aids and workshops, update existing/out of the box materials
- Support change management processes, including providing input into communication materials and supporting the broader team to build user readiness
- Provide highly responsive end-user support to ensure successful adoption, integration and continuous learning
Reporting, analytics and information management
- Proactively identify and recommend enhanced reporting capabilities
- Build and maintain Workday reports, dashboards and data visualizations
- Support internal and external compliance reporting needs, including pay transparency reporting
Who are we looking for?
Education and Experience:
- Bachelor’s degree in HR or related field, or equivalent experience
- 3 years’ experience administering HRIS systems, including system configuration, business processes, and reporting, preferably direct experience with Workday
- Experience or education in people analytics considered an asset
- Applied experience with HR data, privacy standards and information security
- Experience with and commitment to maintaining confidentiality with sensitive information
Competencies:
- Excellent problem solving and troubleshooting skills
- Strong understanding of payroll concepts and integration between P&C and payroll
- Ability to distill and communicate technical concepts with clarity to non technical audiences
- Collaborative, proactive and committed to continuous improvement
- Strong ability to manage competing priorities
Compensation
The successful candidate can expect a starting salary of between $64,701.00 and $80,880.80 depending on factors such as internal equity, experience, competencies, and education. Once hired, salaries are reviewed annually following the annual performance review and successful employees have the opportunity for their salary to increase, over time, up to the maximum of the pay band, currently $97,060.60.
